Crew Coordination Specialist


Job Description

The Crew Coordinator is responsible for ensuring the most efficient and logical use of crew resources for the purpose of the most effective aircraft utilization.  They are responsible for following crew scheduling guidelines and FAA regulations regarding aircraft qualification, crew rest and flight time limitations.  The goal of the Crew Coordinator is to ensure aircraft availability and safety by coordinating crew and aircraft schedules.

Duties and Responsibilities:

  • Functions as primary liaison between the Fleet Management team and pilot pool in communicating effectively and efficiently to both parties all things related to crew activity
  • Maintain awareness in aircraft crewing needs at all times, staying proactive in identifying conflicts in crew schedule; specifically focusing on Maintenance schedules to utilize down time for crew OFF days and vice versa
  • Ensuring all scheduled trips 7 days out from departure are crewed
  • From direction of Manager update FOS related to crew activity: assigning appropriate crew to trips, maintaining crew activity timeline and “board” with all detailed and relevant notes, documenting all travel reservations and training events.
  • From direction of Manager update FOS2GP daily keeping crew service fees dashboard updated and accurate
  • Alert Training department when training and medical items are shown due and/or expired ensuring no crew member is assigned where currency/medical/etc. expirations will affect daily operations
  • Under direction of Manager communicate with crews when they are released/BOFF’d or need to be available outside of standard stand-by/duty expectations
  • Coordinate all aspects of crew MDOF for 91 and 135 flying, working with Fleet Management Dept. to make aware of associated costs and ensure all changes to activities are updated correctly in FOS throughout the month
  • Ensure any “Crew Move Incentive” deals are documented in FOS and paperwork is completed and sent to Accounting, Crew and other related parties
  • Facilitate and coordinate all logistics around crew swaps on the road
  • Find, schedule and communicate with contract crew when needed, including 91 contract pool, Air Hostess and per diem 135 contract pool
  • Review monthly crewmember duty activity logs for accuracy; bringing up any discrepancies to Manager

Required Skills:

  • BS/BA preferred
  • 2-5 years of experience in a flight operations environment required
  • Understanding of FAR relating to flight and duty time limitations
  • Ability to pay close attention to detail with high level of accuracy
  • Understanding of aircraft types, crew qualifications and regulations preferred
  • Must have self-motivation and the ability to work with little supervision
  • Ability to organize, prioritize and multi-task
  • Keep up in a fast-paced environment
  • Team player with the ability to work cross functionally with multiple departments simultaneously

Physical Requirements:

  • Majority of work is completed in a normal office work environment and operating in and around aircraft
  • Communicate through verbal, written and electronic means
  • Operate office equipment such as telephone, computer, printer, fax, postage meter, etc.
  • Move up to 25 pounds on an infrequent basis
  • Access filing cabinets, drawers and shelves of varying heights
